AnswerMe values and respects the privacy of the people we deal with. AnswerMe is committed to protecting your privacy and complying with the Privacy Act 1988 (Cth) (Privacy Act) and other applicable privacy laws and regulations.

This Privacy Policy (Policy) describes how we collect, hold, use and disclose your personal information, and how we maintain the quality and security of your personal information.

Information We Collect

We collect information you provide directly to us, including your name, email address, phone number, and business details required to use our services.

Information We Do Not Collect

We do not collect your date of birth or identification details such as your licence or passport details. Payment methods are captured by our payment partner Stripe. AnswerMe does not collect, access, or store full bank account or credit card details. We may store payment-related account information such as Stripe customer IDs, subscription status, plan details, invoice references, and billing history needed to operate and administer the service.

How We Use Your Information

We use the information we collect to provide, maintain, and improve our services, process transactions, send you technical notices, respond to your comments and questions, and operate AnswerMe's call answering, appointment booking, and message-taking features.

Google Calendar Data

AnswerMe allows customers to connect Google Calendar so the service can check appointment availability, create confirmed bookings, and manage bookings created through AnswerMe.

AnswerMe uses Google Calendar data only to provide appointment-booking functionality. We do not sell Google Calendar data, use it for advertising, or share it with third parties except where required to operate the service.

Google OAuth access and refresh tokens are stored securely on AnswerMe's backend systems and are not exposed to the browser or client-side application. Customers can disconnect Google Calendar access at any time. If Google Calendar is disconnected, AnswerMe will stop automated booking and fall back to message-taking where applicable.

AnswerMe's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Call Data and AI Voice Processing

AnswerMe uses third-party voice and telecommunications providers to answer calls, process speech, generate AI responses, route calls, and support appointment booking and message-taking functionality.

When AnswerMe handles a call, we may process call-related information such as caller phone numbers, call times, call duration, call status, transcripts, call summaries, booking details, and message details. This information is used to provide the service, troubleshoot issues, maintain security, and improve reliability.

AnswerMe does not sell call data or use call data for advertising. Call data may be shared with service providers only where required to operate the platform, including voice AI, telecommunications, hosting, email, calendar, and payment providers.

Data Retention

We retain customer and service data only for as long as needed to provide AnswerMe, maintain business records, support security and troubleshooting, and meet legal, accounting, and operational requirements.

Call records, messages and call summaries are retained only for as long as they are needed to provide the service, support customers, troubleshoot issues, maintain security, and meet operational requirements. Booking records and subscription or billing records may be retained for audit, account history, legal, tax, and operational purposes.

Google Calendar OAuth tokens are retained only while a customer's calendar remains connected, unless earlier invalidated or disconnected. If a customer disconnects Google Calendar, AnswerMe stops using those tokens for automated calendar access.

If a customer cancels their AnswerMe service, they may request deletion of personal information associated with their account. Where required records do not need to be retained for legal, tax, billing, security, audit, or dispute-resolution purposes, we will delete or de-identify relevant personal information within 180 days of the cancellation or verified deletion request.

Information Sharing

We do not sell your personal information. We do not share your personal information with third parties except as described in this policy, with your consent, where required by law, or with service providers who help us operate AnswerMe.

Data Security

We take steps to ensure that your information is treated securely and in accordance with this Privacy Policy. All data is stored securely and is accessible only to authenticated persons using the AnswerMe dashboard. Authentication is managed by our security specialist partner Clerk.

Unfortunately, no system is 100% secure, and we cannot ensure or warrant the security of any information you provide to us. We have taken appropriate safeguards to require that your personal information remains protected and require our third-party service providers and partners to have appropriate safeguards as well.

To the fullest extent permitted by applicable law, we do not accept liability for unauthorised disclosure of personal information where we have taken reasonable steps to protect that information.

By using our services or providing personal information to us, you agree that we may communicate with you electronically regarding security, privacy, and administrative issues relating to your use of our services. If we learn of a security system breach, we may attempt to notify you electronically by posting a notice on our services, by mail, or by sending an email to you.
